Business Manager

Job Description

This position is responsible for the daily financial management and monthly reporting for the school. This would include responsibility for all general ledger accounting, accounts receivable, accounts payable, and payroll and the production of monthly financial and statistical reports. Establish and implement financial policies and programs which are in alignment with VCS's overall mission, vision, and core values. This is a full-time, 12 month per year position, reporting to the Head of School.


Required Experience / Education:

  • Should have experience in or a general knowledge of accounting, finance, human resource management, information technology and business operations. Must have an understanding of an appreciation for a Christ-centered school. Must possess strong interpersonal, writing and presentation skills. Strong organizational skiils are essential.

  • Bachelor's degree in business, finance or related degree is required.

Character Description:

  • Evidence a mature personal Christian faith consistent with the Valley Christian School Statement of Faith.

  • Evidence understanding of and a commitment to the distinctive qualities of Christian education as well as the mission of Valley Christian School.

Position Overview:

Perform duties necessary to provide for the daily financial accounting needs of the organization, including the oversight of all related human resource components.

Position Responsibilities:

General

  • Serve as a member of the finance and personnel committees.

Collaborate with the head of school to ensure development and fundraising

  • accounting procedures are followed.

  • Remain informed about and communicate appropriately trends, legislation and public opinion that impact the financial operations and viability of the organization.

  • Report to the head of school.

  • Manage direct reports, includes business office assistant and HR assistant.

  • Attend all required meetings as established by the head of school .

  • Perform other duties as assigned by the head of school.

Financial

  • Assist the head of school in the preparation and management of budgets.

  • Submit monthly reports to the head of school  (i.e., financial statements, cash flow).

  • Manage and execute all financial responsibilities related to the WI School Choice program including bi-annual audits.

  • Maintain accounting system in QuickBooks that reflects the annual budget.

  • Prepare and execute payroll bi-monthly.

  • Perform daily accounts receivable/payable.

  • Perform collections when FACTS Financial is unable to do so.

  • Reconcile bank statements and transfers of funds between accounts.

  • Oversee cash management (i.e., petty cash, lunch program, concessions, athletics). Ensure proper cash handling and financial record keeping processes and procedures are in place to  prevent misappropriation of funds. Provide recommendation s and implement procedural improvements where necessary.

  • Be the primary interface to the organization’s accounting firm regarding quarterly taxes, W-2’s, end of year reports, audits and financial reviews.

  • Ensure compliance with local, state and federal reporting requirements for sales tax, payroll and contractor payments, county property appraisal and workers compensation.

  • Manage the Purchase Order (PO) system of organization.

  • Manage all tuition accounts, utilizing FACTS Financial where applicable.

  • Oversee financial grant program and tuition discounts.

  • Review school insurance policies at least annually to ensure adequate coverage in all areas - multi-peril, auto, umbrella, employment practices, directors' and offices', etc., - and manage any changes or additions.

  • Make recommendations on ways to reduce expenses and find efficiencies within school operations.
